REGISTRATION TO WORK
The re-entry to work activity screens employees for health risks before they enter the workplace. Employees also update key information like current residential address, contact information, location of work, medical conditions and next of kin. Key compliance such as travel across provinces, permitting and contact tracing are flagged.
Coordinates and initiates the return to work of an employee. The manager is also able to coordinate re-entry once the questionnaire is completed, or facilitate necessary intervention for high alert risks e.g. notify safety of health care staff.
Receives and completes the pre-screening questionnaire once notified of re-entry into workplace. Employees also have the option of completing the questionnaire at a self-service stand.
Managers receive reports alerting to employees with higher risk profiles and a record of employee screening for compliance. Updated information for employee profiles is also available if needed.
This activity emphasizes the importance of daily health and safety of employees or visitors (including vendors), organisation compliance, Key data points cover area of work, PPE, regulatory screening and compliance requirements for travel, permitting and contact tracing are flagged.
The manager is required to notify safety or health care staff of any high risk symptoms of their employees, and works together with an authorised officer to assist with any high risk visitors to their department.
The employee is required to enter their Employee Number and work environment details. Everyone entering the premises will complete a screening questionnaire and have their temperature checked. A declaration of any risks such as temperature, PPE and hand sanitisers must be signed as acknowledgement of the implications of non-compliance.
A report on high risk health care is provided, as well as information on breach of lockdown. Contact with anyone with COVID-19 or symptoms of such is included, and methods of travel, overcrowding, and permits are recorded too.
This activity is used to measure the compliance and update management on compliance to the workplace's health and hygiene protocols across different locations. Data collation is provided for PPE, facility hygiene, availability of hand sanitisers and issues contributing to workplace stoppages. This will result in the least disruption to operations that are impacted by breaks in protocols and regulations.
Managers are able to receive information from front line employees on workplace and facilities issues so that targeted action plans can be developed and implemented for non-compliance and to avoid operational disruptions.
The employee or visitor can complete the workplace feedback via the Health Tracker, their desktop, a QR Code or SMS link at any time, or as required by the organisation.
Workplace compliance reporting on whether the environment is practicing social distancing, on the availability of hand sanitisers and hygiene controls, the type of Personal Protection Equipment that is being used, and reporting on any work stoppages. Ensuring that the workplace is free from the risks of being shutdown.
Should an Employee need to be isolated, the Quarantine Management Activity must be completed by a person authorised with the responsibility of safety or health care in the organisation. The Health Tracker automatically creates a patient record and a daily update on the employee's health status is completed, until recovery or the patient's record is closed.
The authorised officer registers the infected employee and places the employee in quarantine. The employee automatically receives a notification via the Health Tracker, their desktop, or SMS link, creating a "patient" record based on their status each day. The employee is also questioned about the facility to ensure it is compliant.
The employee receives a notification requesting a wellness update, as well as state of the facility that they are at with regard to compliance/PPE. This occurs daily, and if the employee is in no condition to respond, the authorised officer will be able to update this information by contacting the facility and updating the record.
A Quarantine Management Report will also provide statistics on the number of employees affected, locations affected, status of the facilities that the employees are quarantined in and the status and progress of the recovering employee.
This stand-alone activity offers the employee a voluntary opportunity to engage with the organisation and request assistance across categories of the need, such as financial guidance, family support, psychological counselling, medical care and transport. This activity can change depending on the organisation's need and the trends revealed through reporting.
The wellness representative will receive a daily report on the needs requested by their employees and will assess and escalate the requests to the relevant parties.
The employee accesses the activity via the Health Tracker or their desktop and requests assistance across categories of need. This is then sent to the manager for escalation. Confidentiality is maintained at all times.
A daily report will be issued to the wellness representative for the assessment of issues and interventions as required.
Reports on key trends will enable wellness representatives to tailor employee assistance programs, as well as set-up targeted communications to directly address concerns and interventions within the affected groups.
This stand-alone activity allows the organisation to publish media for employees in order to keep them updated with company information or protocols. The information is captured, with a description and a category, such as News, Safety and Workplace and then uploaded onto the Health Tracker. These publications are available to all employees from their Health Tracker or desktop.
The Information/Media Officer uploads organisation communication in the form of notes or attachments onto this activity for viewing by employees.
The employee is able to access and view all media and communication from the Health Tracker, their desktop or SMS link.
All communication is stored in one central location for the organisation. Reporting of absorption rates can be provided for all Health Tracker users including times, locations or sites and departments.
This optional activity is for organisations that have specific reporting requirements. A customised report can be created as needed by the company. This detailed report is particularly useful for organisations that have a special requirement to comply with continuously changing regulations.
This activity is completed by an authorised officer within the organisation to ensure that all government legislature is met . The information that is collected per site is also reported to the management of that site to ensure that all compliance.
General employees do not participate in this activity.
Reporting for this activity is in depth and legislation-based. It is an audit that covers areas such as the Community, Screening, Workplace Planning and Inspection by authorities. The reports can provide a compliance overview of the entire organisation or by site.
